Communicating online can be difficult. It's very easy to fall into type and send mode without taking a minute to proofread and ensure that your real message and intention is being correctly conveyed. There are some easy steps you can take before hitting that send button as; after all, you can't unsay what you say online.

Set your tone. Since online is a format in which we're all generally strangers and we can't see one another, tone is exceedingly difficult to communicate effectively here. Whether you're writing to an acquaintance in e-mail or posting a response to a controversial issue in a forum, determine what tone you're really trying to convey and be really careful when wording your post to keep that tone uniform throughout. Avoid sarcasm and innuendo as both are commonly lost or misunderstood in any cyberspace format.
 

Abide by the general guideline that if you wouldn't say it aloud in real life, don't type it online. Period. After all, even if you're writing under a pseudonym, an individual can truly still figure out who you are and it can come back around to you sooner or later. When writing, consider all the politicians and public figures that have been caught grumbling what they thought was an indelicate comment under their breath within microphone distance; it's essentially the same thing.

Proofread, reread and if you're angry or emotional, step away and return later to read your post once again before sending. The worst time to send an e-mail or a response to somebody you're disagreeing with online is when you're upset you'll without doubt type and send something you'll want to unsay later.

Prevent discriminatory content and cussing. There's nothing more off-putting than a poorly worded comment with misspelled curse words and terrible grammar that then as well insults whole groups of individuals in one swipe. It's far better to be civilized, concise, respectful and knowledgeable even if you're responding to somebody else who's being crude, ridiculous and scornful. Pick the high road.

Be personal and universal at the same time. This is doable and by this I mean that you are able to still be yourself without letting out personal information. If you include your own twist on a topic in your own voice, that will always make you more personable and approachable online.

If you're posting it online merely for the sake of producing a stir, quit. I truly wish that every other individual posting online would take this into consideration.

  • I’ve written a couple of posts late at night. I’ve been careful to read and even re-read them before I posted them. I’ve got up the next day and had a look at the posts and couldn’t make any sense of them. I don’t do that any more. I do my original writing in a program mostly that has a spell checker and then post it if I can. I think we must make the same mistakes with the writing and the reading and re-reading and I don’t drink at all.

    you are so right! But we also need to be acceptable of those leadres who learned English as a second language and are still on the leaders team calls and give it allthey got!
    Just imagine having to go up to a mike and video camera in a language that you learned in school about 20 years ago (for me that would be French..) I would maybe try and type some, but I would NOT feel goos about talking just because I know it will only be somewhat right…

    SO My wish would be for everybody to give it the best they can!
    The video tip about using a voice as if talking to a friend is what really helped me make my video! I was so very scared of the camera the first few tries!

    a very true post and a valid one as well! I know I really need to work on that area…
    I do enjoy the occasional ironic remark and need to remember that a lot of people don’t even get it when they see me. How much less will they get it when I am just writing!

    As for the typos – That is very hard to do especially if you are for example chatting in a foreing language, I do try ma best, but in the heat of the moment things can get warbeld!

  • Another ‘Super Cool’ call to action Mr. Mark Call. A great series of action steps we must implement so that our messages are clearly understood.

    There are many of us who abhor those who abuse the English language with typos and improper phrasing. I have learned so much about correcting the content when incorporating the words into video and using the voice inflections as if I was talking to my best friend.

    Communication will always be the key, especially when we start to learn more with the 4 additional languages included in the GVOC.

  • Excellent post, Mark! Whenever Steph or I get ready to put up a post on our business blog, we keep it in draft mode until the other gets a chance to read it and provide content related comments and spelling or grammatical corrections. We both border on the obsessive when it comes to grammar & typos, especially on our blog and websites; in our view it is a direct reflection of your professionalism online (or lack thereof).

    This is also true in any form of online communication. If anyone engages me on Skype, they’ll notice I have a habit of typing away, then erasing it and starting over… words are powerful and it’s critical that you get your point across in the right manner. In the virtual world, we often don’t have the benefit of seeing the other’s expression and certainly in dealing with people who speak other languages, your meaning can literally get lost in translation!

    You don’t even want to know how many times I proof read this response, LOL πŸ™‚

  • A very good information Mark.

    Putting into application step by step all those mentioned “how to’s” in your article will put anyone into the position of simply said : “Let’s experience my communication ability” in daily simple steps by just folllowing a good advice.

    Because the big problem which I observed is that 99% of people are just to lazy to even read what they are seeing and do not want to put any effort in changing themselves , thinking always that they already know things better. That’s the problem.

    To begin let’s say at a point “0” and be selective in what they read and put into application would lead finally to even save time for themselves and their business targets and creating much more credibility in what they say, even if they are short and precise in their communication atitude.

    But everyone must at least try to get better by experimenting and controlling his behaviour in his methods.

    If you find something negative then only respond if you are going to turn that negativity into a positive. Adopting the negative or perpetuating the negative is no good for your own development nor is it any good for your business potential. You can find positives in any situation. Look for them before you put your mouth/fingers into action.

  • Good advice Mark. I can’t count the times where I’ve read poorly structured blog posts filled with grammar mistakes, as well as punctuation and spelling errors (ever hear of a spell checker)?

    I usually stop reading right away so it defeats the purpose to not take the time to make sure everything is in order before posting. A lot of people get turned off because it shows a lack of professionalism.

    It’s important that people remember that how they communicate is a reflection of themselves and a reflection of their business. If one is careless with something as simple as their communication methods, then of what else are they going to be careless?
